Z report for your accountant: daily, weekly or monthly?
KupaLi's free plan emails a Z report to your accountant and includes a uniform-format file. Here's how to choose the frequency, what to check each day and what to ask your accountant.
On Free POS, the Z report (דוח Z) is emailed to your accountant, and you choose daily, weekly or monthly. KupaLi's free plan also has a uniform-format file (מבנה אחיד) and a one-day sales report. Before you choose a frequency, ask your accountant what they actually open and when they need the data.
What your accountant gets from the free plan
According to the Free POS home page, the free plan includes three things that matter to your accountant:
- A Z report by email, daily, weekly or monthly.
- A uniform-format file, ready in one click.
- A sales report for one day at a time, for your own check or to pass on.
I don't describe the exact menu steps here, because the site's official pages don't list them, and I don't want to guess. What you can do tomorrow morning: send your accountant a short message. “I have a POS that emails a Z report and a uniform-format file. Which of the two do you use?” Some accountants work only with the report, and some prefer one file at the end of the month. Better to know before you set it up than to find out in December that the email goes to an inbox nobody opens.
Z report for your accountant on Free POS: which frequency suits you
If your traffic is uneven across the week, for example a market stall that lives off Fridays, most receipts will bunch up on a few days, and a daily report will be packed one day and almost empty the rest.
A rule of thumb I work by:
- Daily when the register takes cash and cards together, and someone needs to see every day what came in.
- Weekly when your accountant asks to close gaps once a week, or when you settle accounts on Sundays.
- Monthly for a quiet shop, where the accountant only asks at the end of the month.
The frequency only decides when your accountant sees the data. It doesn't decide when you check it, and that's the next section. The plan's limit is 300 receipts a month, so it's worth opening the post on the 300 receipts and checking how many receipts you really issue. A shop close to the limit needs to see the numbers more often, not less.
What to check at the end of each day, even if the report is monthly
A report sent automatically passes mistakes along too. Three short checks at the end of each day save an awkward phone call at the end of the month. Do them the same evening, because a drawer you didn't count today can't be reconstructed three weeks later.
Drawer against report. Count the cash and compare it with the cash total in the report. You'll find the evening counting routine in the guide to your first sale, and it applies well beyond the first day.
Cards against the terminal. The free plan has no integrated terminal. According to the home page, card payments are recorded manually against your external terminal. So at the end of the day, compare the card total you recorded in the POS with the terminal's summary report. A small gap usually means one sale was recorded as cash, or the other way around.
Canceled or corrected sales. If a sale was canceled during the day, check that it shows the way you meant. A forgotten cancellation creates exactly the gap your accountant will ask about.
If you stay with monthly sending, you need one more check at the end of the month: make sure the email address is right and that the file your accountant received opens on their side. That's a check of the delivery, not of the numbers. The numbers get checked every evening.
The report doesn't replace a talk with your accountant
The POS produces the data, but what your business needs and in which format is decided with your accountant. I'm not telling you what the law requires, and this report makes no claim that it meets any requirement. Three questions worth asking in one conversation:
- How often do they want the data, and which do they prefer: the Z report or the uniform-format file?
- By what date each month does the data need to reach them?
- Which email address should it go to, and who in the business gets a copy?
If they use their own software, also ask whether the file opens on their side. I can't promise that, so it's better to send a sample in the first week than to find out at year-end that the file doesn't open.
This is a general explanation only. Rules change and depend on the type of business, so verify the details with your accountant and the official publications of the Israel Tax Authority.
After 300 receipts: what stays open
Also check what happens if you go over the limit, because this is where reports matter most. According to the home page, in the first month you only get a notice. If you go over 300 in a second month in a row too, selling in the POS stops from the 1st of the following month until you upgrade. Sign-in, reports and accountant export stay open, and no data is deleted. So even in a blocked month, your accountant can get what they need.
When reports are no longer enough
A Z report and a uniform-format file answer one question: what was sold. They don't help when a second employee needs to use the POS, when you add a branch, or when you want to track inventory. The free plan is one branch and one user. According to the home page, inventory and customer cards start with Register, ₪79 per branch per month + VAT. Loyalty club, promotions and chain management are in Smart POS, ₪119 per branch per month + VAT. Products, sales and history stay when you switch.
I listed the signs that it's time in the post on moving to Register.
In short
- Choose a frequency (daily, weekly or monthly) only after you ask your accountant what they open.
- Drawer, cards against the terminal and cancellations get checked every evening, whatever the sending frequency.
- Card payments are recorded manually, so compare them with the terminal report at the end of the day.
- Send a sample in the first week to make sure the file opens on your accountant's side.
What you need to get started: set the frequency, count the drawer every evening and talk to your accountant once.

FAQ
Can I send the Z report to my accountant at any frequency?
According to the Free POS home page, the report is emailed to your accountant at one of three frequencies: daily, weekly or monthly. Agree on the frequency with your accountant before you set it up.
Do reports and export stay open after 300 receipts?
Yes. If you go over 300 two months in a row, selling stops from the 1st of the following month until you upgrade. Sign-in, reports and accountant export stay open, and no data is deleted.
How are card payments recorded on the free plan?
There is no integrated terminal. Card payments are recorded manually against your external terminal, so at the end of the day compare the card total you recorded in the POS with the terminal's summary report.
What happens to my data when I move to a paid plan?
According to the home page, everything stays: products, sales and history. You upgrade in the same system without re-entering anything.
Does the report show that my business meets legal requirements?
No. The report shows the sales data the POS produces. What your business needs depends on its type and is set with your accountant and the Israel Tax Authority, so verify it with them.
