Your first sale on Free POS: from signup to receipt

Most first-day problems come from a missing product file, a card payment nobody practiced, or a drawer nobody counted that evening. This is the order of work I recommend.

Signing up is the short part. What decides whether your first sale goes smoothly is the preparation before it, plus one sale you make yourself before the first customer walks in.

This order works for a small shop, a stall and a business that sells from home.

Before you sign up

Product list

A name and price for each item, and a barcode if there is one. A simple spreadsheet is enough. Twenty items take ten minutes to type in. A thousand items need an organized file, and it's worth preparing it before you start.

Write product names the way customers say them. “Turkish coffee 200 g” beats a six-letter code from the supplier's invoice, because that is the name you'll search for in the POS with a customer standing in front of you.

The device and the connection

KupaLi works in the browser: on a computer, tablet or phone. Have a receipt printer or barcode scanner? Connect them. The POS works with Epson and Star printers and with any barcode scanner that works as a keyboard. The full list is on the supported hardware page (in Hebrew).

Internet down? The POS keeps selling for cash and check, and everything syncs when the connection is back. Card payments on the external terminal work as usual. If you sell at a stall or fair, check the signal on site and set up a hotspot from your phone as a backup.

How you take payment

Cash only, or cards too? If you have a card terminal, it stays as it is and the POS works alongside it. In the POS you record cash, check and card payments made on the terminal, and you can also split one payment across several methods.

Signing up

The button on this site takes you straight to KupaLi signup, with the free plan already selected. There you fill in your business details and accept the terms of use. No extra form and no sales call along the way.

After signup, your business gets its own sign-in link, with an ID in Latin letters. Bookmark it on the POS device. You'll open it every morning, and you'll need it if you change devices. It is different from the username you sign in with, so keep both in the same place.

Setting up your business

Enter the products from the list you prepared. If the catalog is large, start with your best sellers. You can add the rest later, without delaying your opening.

Check three random products against the shelf. A wrong price in the POS will end in an argument with a customer on day one.

If some products change price, like fruit by season, mark them on the list. Those are the ones you check first every week.

A test sale, with real money

Before the first customer walks in, sell something to yourself. A bottle of water, a notebook, whatever is cheap and sells at your place. Pay in cash, get a receipt and check it: business name, item, amount.

You see the screen the customer will wait in front of, and you feel how long it takes. It is a normal sale in every way, so there is nothing to cancel afterward.

If you accept cards, make a second sale by card. Run the card on the external terminal, then mark the payment as credit in the POS. This is the step that's easiest to forget when there's a line, so practice it in advance.

If you have a printer, also check that the receipt prints legibly and that there is enough paper on the roll.

One more thing: if you've been writing receipts in a receipt book until now, don't run both methods side by side. Two lists of the same sales will confuse you at the end of the month. Pick a switch date, and from that day everything goes through the POS.

At the end of the first day

Close the shift and count the drawer. Compare the cash in the drawer with what the system shows. On the first day, a gap, if there is one, almost always comes from a sale recorded the wrong way, for example a card payment marked as cash. Better to find it on a day with five sales than on a day with fifty. If there is still a gap, write it down with the explanation you found. After a few days you'll see whether it repeats the same way.

Also count how many receipts you issued. The free plan has 300 receipts a month.

The first week

For the first few days, keep a notepad and pen next to the POS. Every product you looked for and didn't find, and every price that turned out wrong, goes on the note. In the evening, when the shop is closed, fix everything in one go.

After a week, it's time to go back to counting receipts: one real working week, times four, gives a reasonable estimate for a full month.

A short message to your accountant

Let your accountant know you've started working with KupaLi, and ask which export they need and how often. The free plan includes accountant export, and it's worth settling the format now.

KupaLi issues receipts. You keep issuing tax invoices (חשבונית מס) in your invoicing software, as your accountant advises.

If something gets stuck

Inside the system there is a smart assistant available any hour, and email support at support@kupali.co.il. Both are included in the free plan too. When you write to support, include your business ID and a short description of what you were trying to do.

And don't open on a Friday at noon. It's better to start on a quiet day.
