Free POS for a business with employees: when one user is enough
KupaLi's free plan is for one branch and one user. Here's how to check if that's enough when you have an employee in the shop, what they do without POS access, and when an upgrade is a must.
Free POS for a business with employees works as long as only one person runs the POS. KupaLi's free plan includes one branch and one user. An employee who stocks shelves or counts the drawer doesn't need access, but the moment another person sells on their own, even one employee alongside the owner, you need to upgrade.
Free POS for a business with employees: what you can and can't do
According to the Free POS home page, the free plan is permanent, with no end date, and it's for one branch and one user. It also includes up to 300 receipts a month and unlimited products. The user limit has a practical meaning: it decides who may stand at the screen and sell.
The home page doesn't say what happens if several people use the same sign-in, so we won't write here that it's allowed or forbidden. If you want to play it safe, assume one user means one person who sells.
A task for tonight: take a sheet of paper and write down who rings up sales in a normal week. Not who works for you, but who actually presses the keys on the POS. If the answer is one name, the plan can fit you. If there are two names, read the section on upgrading.
Three situations where one user is enough
The simple case is a market or fair stall owner who sells alone. No employee is waiting for access, and the POS is one person's tool.
The second case is common in small shops: the owner rings up the sales, and the employee arranges stock, cleans and changes signs. The employee is in the shop all day but doesn't touch the POS.
The third case is a kiosk where the employee fills shelves and receives goods from the supplier, and only the owner comes to the POS at rush hours. This works as long as you know your rush hours in advance.
In all three cases the rule is the same: one person sells, and the others do work that doesn't go through the POS. Write next to the POS who sells, who counts the drawer in the evening and who sends the Z report (דוח Z). If a role has no name, it's a role nobody is doing.
When the employee sells, and the math changes
The real test is a holiday eve or a Friday morning. Think about how many hours a week you're not at the POS: errands, the bank, picking up stock, a sick day. If customers keep coming in during those hours, you need someone to sell.
Watch the line too. If at peak time the owner rings up sales while the employee stands aside, customers get stuck in line. That's where one user stops being a saving and becomes a bottleneck.
The rule I suggest: as long as a shift without you is rare, and you can close the shop for an hour, stay on the free plan. Once there is a regular shift where someone else sells without you, the plan is no longer enough. Don't try to get around it by sharing a password: the home page doesn't say it's allowed, and there's no reason to build your business on that assumption.
What the employee can do without being a user
Check which tasks in the shop don't need a POS sign-in:
- Receiving goods, putting on price tags and arranging shelves.
- Counting the drawer at the end of the shift and leaving a note with the total.
- Preparing the checks and receipts in a binder for the accountant.
At the end of the day, the owner wraps up. The Z report is emailed to your accountant daily, weekly or monthly, as described on the home page. The guide on choosing a Z report frequency explains how to decide what suits your business.
My routine for a shift with an employee who doesn't sell: the employee leaves a note on the drawer with the amount they counted, the owner compares it with the report, and only then do you close. It takes a few minutes, and any gap between the note and the report shows up that evening, not at the end of the month.
When to upgrade because of an employee
The home page puts it directly: when you need another employee, inventory or a second branch, you upgrade in the same system, with all your data. Register costs ₪79 per branch per month + VAT, and your history, products and sales stay.
Quick math: compare the monthly price with the sales that come in during the hours an employee sells instead of you. If those hours bring sales that would otherwise be stuck in line or lost to a closed door, the price pays for itself quickly. If the employee only arranges stock, there's no reason to pay.
The rule is simple: upgrade in the week another person starts selling, not a month before. Until then, there's no point paying for something you don't use.
Watch the limit too. The free plan has up to 300 receipts a month, and an employee who sells may push your pace over it. The guide on the limit explains what the terms say about the month you pass it. If you're already on the fence, the five signs it's time for Register give you another checklist.
Card payments are a separate matter: the free POS has no integrated terminal, and card payments are recorded manually against the external terminal. An employee who sells needs to know this before their first shift, not find out in front of a customer.
In short
- The free plan is one branch and one user, so one person sells.
- An employee who arranges stock and counts the drawer doesn't need to be a user.
- The real test is the shift when you're not in the shop.
- Upgrade in the week another person starts selling, and your data stays.
- Don't assume several people may use the same sign-in: the home page doesn't say so.
This is a general explanation of the plan's limits. Terms and prices may change, so check the home page before you decide.
