Free POS: what's in, what's out, and what happens after 300 receipts
Three hundred receipts a month is a lot for a quiet shop and not much for a café. Here is how to do the math on one page, and what the terms say about the month you go over the limit.
KupaLi's free plan is built around one number: 300 receipts a month. Before you sign up, check what that number means for your sales.
What you get for ₪0
The plan includes the POS and receipt issuing, unlimited products, accountant export, and support through the smart assistant and by email. It is for one branch and one user. There is no software subscription fee and no date when the plan ends. The smart assistant is available any hour, and you can also write to us at support@kupali.co.il.
“Unlimited” here refers to the catalog. You can set up a shop with a thousand items, each with a price and a barcode, without paying a shekel for it. What is limited is the number of sales per month.
Accountant export is included too. If you hand your accountant a stack of printed receipts at the end of every month, you can send a uniform-format file (מבנה אחיד) instead. Or let the POS email them a Z report (דוח Z) every day, week or month.
What's not included
Hardware is not included: no screen, no printer and no scanner. KupaLi works in the browser, so the computer or tablet you already have may be enough to start. If you have a printer or scanner, check that they are compatible before you rely on them.
Card processing is not included either. If you accept cards, you run the card on your external terminal, then mark the payment as credit in the POS. The money goes through your card processor, and you set the fees with them.
KupaLi issues receipts. You keep issuing tax invoices (חשבונית מס) in the software your accountant recommended.
Some features stay on the paid plans: inventory, customer cards, loyalty club, promotions, additional employees and an additional branch. If your business needs one of these from day one, the free plan is not the right starting point.
How much is 300 receipts in your business?
Every sale produces one receipt, so in practice you are counting sales. A receipt for a can of soda counts toward the limit just like a receipt for a basket worth hundreds of shekels. Divide 300 by the number of days you work to get the daily average the plan allows:
- A business open six days a week, about 26 days a month: a little over 11 sales a day.
- Five days a week: close to 14 sales a day.
- A stall that only works on Fridays: 75 sales each market day.
- If you sell mostly at fairs, twice a month: 150 sales per fair.
A café that serves a latte and a pastry every two minutes in the morning will pass the cap in the first week. A quiet gift shop or a solo seller at a stall can manage with it for a long time.
Example: a small housewares shop on a shopping street, open Sunday to Friday. On a normal day it makes eight sales, and on Friday twenty. That's 60 sales a week and about 260 a month. The plan is enough, with a small margin.
Now take the same shop in a holiday month, when every day looks like Friday. Twenty sales a day, 26 days: 520 sales. More than one and a half times the limit.
Do the math using your strongest month in the past year, for example the month before Passover in a gift shop, or August in a business by the beach. If you passed 300 sales in a month like that, you will pass them next time too.
What happens when you go over 300
Went over 300 receipts? In the first month you only get a notice. A second month in a row over 300, and the POS stops from the 1st of the next month until you upgrade. Sign-in, reports and accountant export stay open. Billing management and support stay available too, and the stop does not delete any data.
The simplest check is mid-month. If by the 15th you have already issued more than 150 receipts, your pace will take you past 300 before the month ends. Set a monthly reminder on your phone for the 15th.
If you are getting close to the cap, don't wait for the month you pass it. You can move to a paid plan in the same system and keep working with your existing data. You can also write to support and ask how it would look on your account before you get there. When you write, say how many receipts you issued last month.
Who the plan suits, and who it suits less
The plan suits a business that is just opening, people who sell on their own, and anyone who wants to stop writing receipts by hand without committing to a subscription. You can also try a POS on your real business instead of a demo.
It suits less a business where two people sell at the same time, because the plan includes only one user. The same goes for a business with two branches, or one that already sells more than 300 times a month. In these cases the free plan will be a short stopover, and it's worth checking the Register plan in advance, at ₪79 per branch per month plus VAT.
What I would check before any free plan
Before I sign up for any free plan, I check what happens when you leave it: whether you have to re-enter the catalog, or whether the history gets lost. With KupaLi the answer is simple: no and no. You upgrade in the same system, and the catalog and history stay.
